Every month, we deliver new features and improvements that empower you to tackle privacy work and reduce risk with confidence. This month, we’re introducing features and updates that reduce manual work, simplify workflows, and help teams get aligned faster.

Customize Data Subject Relationship Questions to Align with Your Privacy Workflows

Capturing the right context at intake is critical for privacy teams to handle requests accurately. A data subject’s relationship to you directly influences how a request is processed, and what compliance requirements must be met. 

Our latest Privacy Request Center update provides additional customization options for Data Subject Relationship questions, making it even easier to create streamlined, compliant workflows that align with your internal policies.

Data Subject Relationship appears by default on all forms, and you can customize it with the following options.

  • Question Label: Edit the title of the question; defaults to “Relationship to [Company Name]”.
  • Options: Add, remove, or modify dropdown choices to match your policies and workflows.
  • Make Required: Decide whether the question is mandatory or optional.
  • Option Translation: Enable automatic translation of dropdown options based on the Data Subject’s detected language.

Answers that are provided for this question can be used to trigger specific request automations depending on the data subject’s relationship to your business. For example, you can have employee requests route through specific integrations versus requests that are from your customers.

Simplify Internal Systems Integration (ISI) Management with Category-Based Grouping

Sifting through large volumes of data subject records can slow down privacy workflows. With category-based grouping, internal system results are now organized by DataGrail category (name, address notes, user id, etc.)., helping you streamline internal management and simplify data delivery to subjects.

Records are automatically organized into one or more TSV files per category, reducing clutter and making reviews faster and more straightforward. The TSV Viewer has also been updated to support multiple records in a single file, so teams can view, edit, and manage grouped data, all in one place.

Make ISI management simpler and more effective by giving your team the tools to:

  • Reduce file clutter by grouping ISI results by category
  • Improve data subject experience with more organized responses
  • Edit and manage grouped records easily within the TSV Viewer

Streamline Privacy Onboarding With the New Privacy To-Do List

  • Completion Tracking: Mark tasks as complete to keep your team aligned and track progress across the checklist.
  • Super Admin Controls: Manage the checklist visibility and assign tasks to your team as needed.
  • Privacy To-Do List: Always accessible list from the main navigation, giving teams a central hub for ongoing privacy workflows.

Protect Privacy Request with Cloud Backup

Ensuring that every privacy request is safely stored and recoverable is critical for privacy teams. Any interruption or error during request creation can slow workflows and create gaps in compliance tracking.

With our latest update, all incoming privacy requests, including partner requests, are automatically backed up to DataGrail’s secure S3 buckets. A daily verification process confirms that each backed-up record corresponds to a valid privacy request, giving teams peace of mind that no request will be lost.

This update strengthens system reliability, ensures continuity in privacy operations, and helps teams maintain accurate records across all requests.
