The Challenge

As a modern direct-to-consumer retailer, REVOLVE utilizes many third-party cloud applications to manage its e-commerce presence – meaning that their consumer data is distributed across many sources. With personal data existing in multiple areas, it left REVOLVE’s lean privacy team, consisting of two members of an in-house legal department in charge of managing hundreds of requests. Their process for fulfilling these requests was entirely manual, relying on methods such as individually contacting third-party vendors through email, phone, or even physical mail. Additionally, request fulfillment consumed valuable engineering resources because the privacy team had to rely on engineers to extract information from their internal systems.

In essence, the privacy team lived in spreadsheets and manually tracked everything, which was both time-intensive and incurred too much risk of human error.

The Solution

The REVOLVE team knew that they wanted to implement a solution that would provide a level of automation to significantly reduce this manual burden. After partnering with DataGrail, they are now able to process requests quickly within their two-person privacy and legal team without requiring additional resources from engineering. DataGrail also eliminated manual data entry from the request fulfillment process, and thus reducing potential risk of human error.

This significant efficiency improvement was possible through the DataGrail Integration Network, which covers 1,800+ of the most popular cloud apps and infrastructure. By connecting their existing third-party applications to DataGrail’s Request Manager, the REVOLVE team is now able to quickly extract personal data from numerous internal systems and fulfill requests in a convenient, centralized location.

Last but not least, REVOLVE uses DataGrail’s data subject request intake form to provide a seamless experience for customers to submit requests. The form not only enables easier processing by their privacy team, but it also creates a smooth experience in transparency for REVOLVE customers.
